We have been using iPads with our inpatient population at University of Iowa Hospitals & Clinics, so have not had to deal with the loan agreement issue. However, the appleID issue and the personalized content issue is one we have dealt with. Because there may be HIPPA covered content that individuals may add, I think Cloud backup should be ruled out. To get around the problem of one patient having access to another patient’s content we have instated a policy of electronically wiping the devices between patients. Since patients will use not just the SGD app but other apps (FaceTime, iMessage, Facebook , iTunes , Netflix) it is also critical that their individual content and Ids also be removed when the iPad is returned. Doing that my hand is a tedious process, you can get iPad charging stations which would allow you to basically re-image the iPads with the core apps you provide. I would definitely not allow patients to have access to your AppleID password. Installed app updates will n to require the password. I would also disable “in app” purchases and not have credit card information on the iPads.

Our loan agreements for other AAC equipment that we have used when we loaned out to outpatients is pretty standard and obligates the patient to reimburse us if the device is lost or broken. Some home owner’s insurance policies will cover the loaned devices.

Subject: iPad loaners

We just bought 3 iPads to put into our loan closet. I'm set with apps, but I am interested to know how those of you who do this are managing the technical business side of it. Specifically,

What are you doing to help ensure that you get your iPad back? Do they sign a contract? If so, what is the language? We do plan to enable "find my iPad".
Do you have the iPad restricted in any way? We are considering using one apple ID for all 3 iPads but not giving out the password. If the user wants to load other apps onto the iPad, they would be welcome to do so, but they would need their own apple id so they cannot use our account to purchase apps. I know this can cause problems with updates, since you usually need a password for this. We are considering requiring the person to bring the iPad into the office if it needs to be updated. Our thoughts on this is that most of the speech-related apps and operating systems will operate just fine without being updated regularly, and we don't really know how long a pALS may need an iPad. Thoughts are welcome.
Does it make sense to not set them to back up to the cloud on our id? If all 3 are using the same id, if person 1 has phrases stored on an app and person 2 has different phrases stored, would one person lose their stuff when someone else backed up the same app with different data? We are thinking that we will simply back each one up on the computer so that we save what we want.
Should we consider requiring the person who borrows the iPad to have their own apple id rather than just suggesting it?

I am sure there are other issues we have not considered. I welcome any and all feedback.
